Email marketing does more when your copywriter writes a little alt text

I recently got a new laptop, and opted to leave Outlook with the default settings for images in email. That means most html email showing up in my inbox has little red x's in it. I left the setting alone because I'm curious about how well companies are using alt text in their email marketing. In the past week with my new laptop, I am shocked at how few are, and what a poor job is done by those companies that do use alt text.

This sounds like this should be an email marketing topic, and it is in a way, but it's also a copywriter topic, because it's the copywriter who writes the alt text when it's used.

Something like 80% of email clients (that's the software used like Outlook, or AOL, or Gmail) have images turned off by default. I don't know how many users change that setting so they do get images, but I'll be a large percentage of them don't. That means images don't show up in the emails, only the little boxes with red x's do. And in that box is some boring text. For me as an Outlook user, that text tells me I can right click to download the pictures (and then reassures me Microsoft is only doing this to protect me because Microsoft is truly concerned about me...right?).

But that text can do more! If you're using alt text in your email marketing, that's the text that shows up in lieu of a picture.

No alt text in your email marketing is bad enough. Sucky alt text that shows a complete lack of effort is even worse. In the last two days I've received two holiday email that consisted ONLY of boxes and red x's. And the text telling me to right click to download the pictures. And this alt text: "Holiday Card."

I'm a Seattle copywriter. This makes me absolutely nuts. I bet they hired their copywriter to write the text that shows up on the image (that I'd see if I did right click). So why not hire their copywriter to write the alt text? 

Instead of Holiday Card, how about the actual message? Or something like "A holiday greeting from the folks at ABC Company"? Or a compelling message like "Can't see anything but a red x? Right click to see a beautiful holiday email sent to you with all our best wishes. You'll be glad you did!"

Honestly, those cheesy ideas took this Seattle copywriter about 20 seconds to come up with. So please, people, invest a few extra minutes into your alt text! Otherwise your email marketing is better off never leaving your computer! 

The best alt text I ever saw, bar none, was in an email from the Washington State History Museum. Being a museum, their email message was loaded with images...and each one had a full caption of text stating what the image was. It communicated to me even without the pictures. This is a nonprofit I'm talking about here. And they are kicking alt text ass, if you ask this copywriter.

If your business does email marketing, even small business email marketing, resolve to use alt text this coming year! 

And if you need reminders, do like this freelance copywriter and turn off the images in your email. Then you'll experience how dreadful the emails sans alt text are...and you'll  become aware of how much more your own email marketing could do, if you just have your copywriter spend some time on some clever turns of phrase.

Website copywriter gets to see website go live at last!

If you're a fellow copywriter, maybe you can relate to this: It seems like the period of time between when I'm done with my copywriter duties and the actual project, whether it's a website or direct mail piece or whatever, is done and released to the world, I've practically forgotten about the project! I keep telling myself I'll blog on projects as part of this copywriter blog, but I don't for that very reason: I'm 10 projects down the road lots of times before something is a done deal.

But here's one! Here's a website copywriter project I worked on a few months ago, now gone live and worth the wait. The good folks at We Shop and Deliver really just wanted help with the home page and suggestions for the rest of the website, and I happily obliged, and was even able to come up with what I think is a killer tagline to boot! "We Shop and Deliver. Because you have better things to do."

And the best news is, they didn't mess with my website copywriter prowess, they just let me do my job and left my copywriting alone. :-)

As for We Shop and Deliver, they are the first grocery delivery franchise in the country and that's pretty neat to be part of! They do grocery delivery already, but one can buy a franchise for a neighborhood or a whole city and take care of that tiresome chore for their customers while taking care of their quality of life by being self-employed. :-)

Have your copywriter write your marketing like a personal ad

Here’s another analogy for proving marketing is like dating: Think of personal ads. Why? Because words can woo.

 

Even with online dating sites like Match.com, you don’t rely solely on the photos. Heck, plenty of people (mostly men for some reason) don’t even put up photos. The words still matter. You read someone’s profile and decide if it resonates with you or not.

 

Let’s take search engines and search results as an example…

 

Like your personal ad, you can write these to say anything you want, as long as they also have the search terms you want to get found for. The goal of this search result is first, to get found, and second, to get someone to click through and go to your site, for this copy to resonate with the prospect. You don’t get to use any pictures, so it’s like the personal ads of old, when people put their ads in newspapers.

 

Now think of the search result someone gets when searching on Google, using the We Know Words copywriting Website as our example. Type Seattle copywriter into Google and sure enough, We Know Words is on the first page (under that horrid local search map, gads I hate those things!).

 

What people get for a search result is the title tag and description I’ve written for a particular page on the We Know Words Website. In my case, this is really bad, I don’t know that it would resonate with anyone, honestly…

But besides the fact that this Seattle copywriter is maybe acting like the cobbler whose children have no shoes, my advice is still sound. J Have your copywriter, whether freelance or in-house, write your website copy, brochure copy, email copywriting, whatever it is, as if she were copywriting a personal ad.

 

If I were to rewrite my title tag and description as a personal ad, keeping in mind that I have to achieve both search engine optimization (SEO) and conversion (getting people to click on the link and go to my site), I could do it as:

I want to keep marketing writer in the Title tag, because it ranks well in Google, but I’m pushing Seattle copywriter as a keyword a bit more so it’s in there twice now. That’s my SEO. But I also made it more action oriented.

 

OK, maybe not the best example of having your copywriter write marketing ads, but like the cobbler, this copywriter has to get some client work done! No more indulging in blogging for now!

You don’t have to be an online copywriter to market your business online: use press releases

You can market your business on the Internet without being or using an online copywriter. Use press releases  and an online press room. And here’s how, in an article written a couple of years ago by Marina Parr, when she worked for We Know Words as a copywriter. It’s great advice for anyone with a Web site who wants to improve their SEO! So here it is again…

 

Who needs on online press room? You do. But the reasons go beyond reaching the media and gaining coverage in next day's newspaper. These days a press room is just as much a "customer room" as it is a place aimed at journalists. Build one correctly, and you're able to use online press releases to tell your company's story directly to whoever is searching on the Web, boosting your credibility with both media and your potential customers. And with customers shopping online for everything from flowers to shoes to cars to enterprise management systems, they are just as likely to end up researching you at your press room as the reporter at the local paper.


Fact is, your online press room's real power is in boosting your visibility on the Web, a cluttered place where search engines crawl through content everyday looking for new, updated information. It's the kind of information that you can naturally add to your press room through online press releases, recent articles and awards, and much more without using and online copywriter or SEO copywriter. So not only are you telling your story to Wesiteb visitors and journalists alike, but your press room's fresh, search engine friendly content is helping people find you in the first place by using press releases for SEO.

 

An online press room, at its heart, is all about you. It's your best chance to use online press releases to tell your story from all angles, whether it's facts and figures, photos and bios, or logos and slogans. Nine tips for building an online press room that builds your online presence

Tip 1: Consider your online press room as an extended About Us page. This is your opportunity to present facts and figures-from when you started your business to where you're located to how many people you employ. It's also a place to flesh out your company's philosophy, give kudos to key employees, note awards you've won and post articles that have been written about you-or in some cases, for you.

 

Tip 2: You can pump up your online presence further by using press releases for SEO, sprinkling keywords that people naturally search on into the online press release copy you post. It's a simple way to boost your search engine rankings-and get found.

 

Tip 3: And when you suddenly have a story to tell, your press room positions you to communicate directly with the media, giving journalists instant access to critical information about your company. In addition to being used in online press releases, that information can be boiled down into two to three sentences for journalists to copy and paste into their own stories with little editing. It makes it that much easier for you to help the news media define who you are, rather than them defining you.

 

Tip 4: Even though you're using press releases for SEO, this is still online PR. Make sure your press room includes all the ingredients the media needs to write and report their stories. That means including key contact information--both email addresses and phone numbers--so reporters on a deadline can reach the right people right away. Also be sure to include a corporate bio and include basic data, including when the company was founded, the number of employees, location, gross annual revenue and other objective, background information that can be dropped into a story.

 

Tip 5: Think in terms of pictures when thinking about online PR. Nothing tells your story better than pictures that add a human element. So be sure to include photos of founders, directors and other key players. It also helps to have a jpg of your logo, as well as a scenic shot of your operations. Again, you help shape your story by providing reporters with the photos you choose.

 

Tip 6: Both in your online press releases and your press room, offer easy-to-find links to other information customers or reporters might be looking for: information about the company and its principals, information about your product or service such as product sheets or case studies, recent articles written about your company, etc. An online press room has to be straightforward and not overly salesy. Reporters will spot the hard sell and click away, and so will regular customers who happen to wander into the press room, either on purpose or by chance.

 

Tip 7: To use press releases for SEO, regularly create online press releases and submit them via an online service like PR Newswire. Or simply add them to your site as separate pages, and link to them from your press room. Regularly can be just twice a year, if necessary, just make sure it's regular (keeping in mind that they more frequently you update content on your Web site, the happier the search engines will be with you). And even if you don't spend the money to submit them online, still add them to your Web site. It shows both prospects and search engines that you keep your site current. After all, these days your online press releases about getting covered in the New York Times; as they're about telling your story to a potential customer as much as to a journalist.

Tip 8: Include a descriptive sentence or two with links to your online press releases, so journalists and regular folks know what they're clicking on. Too many press rooms provide long lists of press releases without enough supporting information telling someone why they should click on a link and what they'll find if they do. Without that summary information, visitors won't bother to click-and you miss the chance to enhance how you're viewed and written about.

 

Tip 9: Don't treat your online press room as a last-minute afterthought. Think of it instead as a portal to the rest of your Web site-and your company's credibility. Your press room can be-and should be-one of your most information rich, keyword loaded, always changing sections of your Web site. Your press room is also your opportunity to provide visitors a more personal look at you, your employees and your company. And because people don't always enter Web sites through the home page, prospects searching online for information might find your online press room first. So make the most of it by giving it plenty of your attention.

 

In short, your online press room is really a full view of you and your company, as well as a tool for SEO. Think of yourself in front of the dressing room mirror and take advantage of every angle-from the pictures you post to the articles to the press releases you use for SEO to a three-sentence corporate summary that can be quickly copied and pasted. You're in charge of how you present yourself…and how you get found online in the first place. The power is in your hands. Use it!

And if you find that this sounds too hard and you do want to hire an online copywriter or SEO copywriter to help, go for it. That or use blogs as marketing tools instead!

This Seattle copywriter is finally updating the We Know Words web site. It's a running joke that I need to hire a website copywriter to keep the web site maintained! But a pleasant lull in the copywriting business is making the update doable.

Part of the update is simplifying the site since I now rely more on blogs as marketing tools. (More on that in my next blog.) But I as a copywriter have a tendency to get a little fond of copy. As a result, I'm posting an article on email newsletters here since it's being deleted off the copywriting web site. It's an oldie but goodie and maybe a bit unusal to spot here since I've become such an evangelist for blogs as marketing tools. Why would I be encouraging the use of email newsletters? Granted they are not necessarily the best choice for small business marketing, but for the right size business, and right business, email newsletters are still great for marketing, even in an age of social media. Enough explaining, here's the article...

Market with email newsletters
Perhaps the hardest part of marketing is to keep doing it. The irony is, this is also one of the most important. One contact with a potential customer is less effective than repeated contacts over time. We also live in a world of skepticism and doubt, a world where trust matters more than price when people make buying decisions.

To market effectively, you need to establish and nurture a relationship with a prospect. Ditto for existing customers: Once someone has bought from you, don't assume she'll be back someday. You must stay in touch with her on a regular basis so she'll think of you next time she's ready to buy, and possibly refer you to others in the meantime.

 

So how do you stay in touch with your past, present and potential customers on a regular basis? E-newsletters. An e-newsletter is perhaps the most effective and cost-effective way to build and maintain relationships that earn their trust. And trust is crucial to sales.

E-newsletters reinforce your other marketing efforts too by:

 

·         Driving traffic to your Web site through links and special offers.

·         Establishing credibility and positioning your business as a leader and resource.

·         Improving your search engine rankings: Archiving the newsletters on your Web site adds to your content, and search engines love good content!

 

So why are we suggesting email rather than print? It's cheaper than printing and mailing a hardcopy version, for one thing. Plus you don't know if a snail-mailed newsletter even gets read or if it goes straight into the recycling bin. With an emailed newsletter, you can know right away how many people opened it and even how many clicked on a URL to go to your Web site. Email marketing also gets a higher response rate than direct mail: 10-15% compared to 1-2%.

 

Of course, as with all good marketing, your results depend on doing your e-newsletter correctly. Newsletters that are infrequent, boring, purely promotional, or sent to people who didn't ask to hear from you only harm your marketing efforts. But do your email newsletter right, and you will reap the rewards of that ongoing contact as you build relationships, earn trust…and make sales.

Tell your stories, influence your customers

Stories are compelling. Stories are how people passed along knowledge, lore and culture for thousands of years before the written word. If you have children, you know how compelling stories can be: There are some stories kids can’t hear enough. (I used to know “The Little Engine that Could” by heart, I read it so many times to my son when he was little.) Even longer books keep kids engaged: “Wolf Story” is a chapter book I read dozens of times to Evan, then later to his sister.

 

Or think about a dinner party: Who’s the most entertaining guest? The story teller, the one who spins the yarns while everyone listens and laughs.

Whether you're marketing your small business, freelancing as a Website copywriter or SEO copywritier, or focused on blogs as marketing tools, you should be telling stories every chance you get.

 

It’s part of what I call Indirect Marketing. The soft sell. The nuance. The influence. You tell a story about, say, a customer, and other potential customers will relate to that customer’s story much more than they’ll relate to you talking about you.

 

Here’s an example from the University of Washington Foster School of Business Web site, telling a story about how one person is involved at the corporate level to get other C-level executives interested in getting involved with the school too. The story is about Bill Ayer, CEO of Alaska Airlines, and his personal and business involvement with the school. By telling his story, we’re encouraging other execs to picture themselves there too, playing a similar role and getting a similar benefit.

 

Stories happen all around you all the time. You just have to get your antenna tuned to notice them. Then, guess the best place for your stories? Your Web site definitely, maybe your email newsletter if you do one, but your blog is the best place for your stories. Your stories can start there, in your blog, where it’s easy to post them. Then they can morph into Web content, printed content, an article in your email newsletter, etc. But if you’re blogging and constantly scratching your head, while at the same time using blogs as marketing tools, start telling your stories!

 

And you’ll be a hit at the next dinner party too.

Email full of praise puts big smile on copywriter's face

When this Seattle copywriter gets busy, the blog gets neglected. I confess. So I love when something happens that makes me have to blog, like today.

Get the most from your Web site copywriter

I post my copywriting blogs on Facebook too, and it’s funny, I tend to get more comments in that space than in my actual blog. Yesterday I was asked an interesting question via a Facebook comment, one I thought best addressed in a blog. So here goes…

 

Chris, a small business owner asked: “When I seek out a marketing agent/SEO agent, what do I need to be prepared with for my first meeting with you? What would you like to see from your clients? What are your ideal clients? What can we, as business owners, expect from you and how can we best utilize you and not waste both of our times?”

 

Even though I’m a copywriter who knows words, truly responding to these questions would take more than one blog post. J But I’ll do the best I can.

 

For me, as a Web site copywriter and SEO copywriter, my questions in that initial meeting are: Who goes to your Web site? Why? How do they get there, via search engine or your other marketing or word of mouth or some other way? What do they want to do when they get there? What problem are they trying to solve?

 

Knowing the problem they are trying to solve is critical, because that will determine what keywords they are searching with. For example, I was recently the Web site copywriter for a footwear company. You’d think your keywords would be about footwear, right? But these slippers and shoes help people with foot pain, so really the best keywords are the ones that have to do with the problem the consumer is trying to solve, not the solution (i.e. the shoes).

 

With SEO as with other copywriting, in my opinion at least, the customer is first. You have to be focused on the customer: what are their pain points, how do they think about the problem, are they even aware they have a problem, what words do they use, etc.

 

For a really easy to use keyword research tool, go to SEO Tools at http://tools.seobook.com/keyword-tools/seobook/. There you type in the keyword you want to research, and it also gives you variations on that keyword.

 

To answer Chris’ questions more directly: For the first meeting, know your customer and what they are buying, not what you are selling. The more you know about your customer, the better the job your Web site copywriter will do for you. Ideal clients pay attention to the customer’s world view than their own. As copywriting clients, you can expect, from me at least, input not just on SEO and keywords and Web site copywriting, but also site navigation, types of content to include, a plan for keeping content fresh, and of course a very strong recommendation that you use blogs as marketing tools and for SEO to drive traffic to your Web site.

 

If your Web site copywriter only writes copy and plugs in a few keywords, but doesn’t have any input into the other aspects of your Web site, I’d be nervous.

Tips for story telling: best practices every copywriter should know

As a relevant follow up to my Agri Beef blog, see Tableau Software’s whitepaper on using data to tell stories.

 

The whitepaper is pitching their software, but it offers best practices for story telling, which I’m paraphrasing here, as I encourage you once again to have your copywriter use story telling…

 

One, use a story structure. As the whitepaper asks, who are the characters? What is the plot/marketing challenge? What is the happy ending?

 

Two, be authentic. Your story and copywriting must be real or people will know!

 

Three, be visual. They’re talking about representing your data, I’m talking about copywriting and words. But I’d say the same thing as a copywriter: paint a picture with words, use numbers, be specific.

 

Four, make it easy. Keep it simple by simply telling your story, something any copywriter worth her salt should excel at.

 

Five, ask for feedback. This is one reason for using blogs as marketing tools: You can tell stories in your blog, and encourage people to respond, maybe with their own stories…and that could lead to even more compelling copywriting, provided by your customers!

 

But most of all, remember that story telling can also be a real fun way to go about your marketing and copywriting!

Is it okay for a freelance copywriter to toot her own horn?

It’s weird to be a freelance copywriter, working in marketing helping clients left and right to craft compelling marketing messages, but then find myself a bit shy about tooting my own copywriting horn! This morning I received from my friendly blogging software provider an email encouraging me to blog on five great things about my We Know Words copywriting business. I gulped. I blushed. I thought, “Oh, but that sooooo goes against my Catholic upbringing to be bragging about myself!”

 

Still, Compendium Blogware isn’t a runaway success for nothing. I’m taking their advice, so bear with me…

 

Clients hire me as their freelance copywriter for these reasons:

 

One: My brain. I often say I have two things to sell, my time and my brain. (Actually I think my friend Darby said that, but I’m borrowing it.) I’m lucky enough to be smart, and even luckier to know a ton of smart people who keep me up to speed. Which leads to the next reason…

 

Two: I know what’s up in marketing. I don’t just sit idly by copywriting when needed. I keep up with marketing trends like Facebook, like email marketing changes, like SEO and Web 2.0. That way I’m a true resource to my copywriting clients, providing not just words, but insight into how to best use those words (E.g. a wiki or a webinar? A brochure or an email campaign?).

 

Three: My customer-centric approach. Time and again, clients are stymied when I tell them I’m less interested in what they sell than I am in what they’re customers are buying. They get it on one level, but it’s a challenge for them to switch from talking about what they want to sell to what the client wants to buy. But the only way to be a great copywriter is to speak to the customer, not at them.

 

Four: Silly as it might sound, my personality. When people go to my copywriting Web site at www.weknowwords.com, they’re hit with flowers, flowers, flowers, a ton of orange and red, and quite a bit of attitude. If potential clients don’t like my Web site, they won’t like working with me as a freelance copywriter. If they do like my Web site, and the fact that I’m not afraid to sound different and stand out from the crowd, we get along great.

 

OK, my Catholic-ness is saying “enough already with the bragging!” So I’m stopping at four reasons why clients hire me as their freelance copywriter.

 

But if you’re a copywriter who reads this blog, or just stumbles on this post at random, take note. I’ve been a successful freelance copywriter for over 8 years for good reason. Well, four good reasons.

Copywriting is a dream job when clients are different, unique and GOOD

Michael has been cutting my hair for over 22 years. My relationship with my hairdresser outlasted my marriage. Seriously, I met Michael when I was just newly dating my ex. My ex is, well, now my ex, but Michael is still around.

 

I’m not Michael’s only loyal customer. Heck, I’m not even the most loyal! When two of his clients moved to San Francisco, they flew him down to do their hair still. And I’ve had my hair affairs, trying a salon closer to home or less expensive. But I always go back to Michael for one simple reason: He’s the best. (No one else can make my gnarly hair look the one it does in this photo!)

 

He’s also busy. He hasn’t taken on any new clients in years because he doesn’t have time.

 

Now, this is a copywriter's marketing blog, you’re probably wondering what kind of kick ass marketing Michael does to guarantee he’s always busy. The answer? None. No Web site, no email marketing, no small business blogging, no nothing. He doesn’t even have a nice salon!

 

Michael only has to do one thing to keep his schedule full: Stay the best. Michael’s marketing is all those gorgeous heads of hair walking around downtown Seattle. His clients tell their friends how great he is, but they have proof too.

 

How I wish every copywriting project were like that, but sometimes my copywriting is “me too” copywriting because the clients are “me too” companies. As a Seattle copywriter, I strive to write Web copywriting, email marketing, brochures, whitepapers, etc. as different, to help these clients stand out. But in truth the differentiators between my clients and their competitors is sometimes miniscule, irrelevant or non-existent.

 

Why don’t we try harder to be different instead of trying harder to out market or out sell the other guy?

 

The clients who are really are unique? That help their customers solve real-world problems? They’re a copywriter’s dream job. Just as wonderful as one of Michael’s haircuts. And just as likely to establish a loyal customer base because they are the best at what they do.

Small Business Blogging Basics--A Guide

A few months ago, I roughed out the text because I was getting quite a few questions about small business blogging from fellow small business owners. This is by no means a definitive guide, but someone suggested this morning that I post it to my own blog, so here it is:

 

Why do you want to start small business blogging?

First, be clear on your goals. I hope you are small business blogging for three reasons:

  1. Search engine optimization
  2. Thought leadership
  3. Relating to customers

 

What will your small business blog be about?

Second, decide what your focus will be. What the heck are you going to blog about? What can you talk about that other people might not be? What topic gets you excited and would be easy for you to write about? For example, my friend with an Indian restaurant wants to blog. Possible “themes” for her blog are: vegetarianism, Indian culture, running a small family-owned business, having an ethnic restaurant in a redneck town, cooking, Indian food, recipes, being a single mom running a restaurant, food allergies, etc.

 

Another example is my local florist. I’m trying to get her to start small business blogging because she’s very online marketing savvy when it comes to pay-per-click, but less so for SEO. I’m also trying to get her to blog because she’s so knowledgeable and well-respected and she could be even more so. I’d love to see her write a blog as the florist expert, offering advice like when to start choosing the flowers for your wedding, seasonal suggestions for wedding flowers, plants as corporate gifts, catering advice, maybe she talks about her favorite catering venues. She could talk about the price of flowers as impacted by gas prices, how to keep flowers fresh, etc. I see it as “advice” oriented.

 

Or consider my small business blog: Although I’m primarily a Seattle copywriter, my real passion is marketing, and my beliefs about being customer-centric. (Stated at the top of my blog: helping people talk to customers not at them.) My goal with my small business blogging is to get people thinking a little differently about marketing, while still using keywords that are helping my blog get found for copywriting. In the future, I’ll be doing more consulting and speaking, so my keywords will shift, but the blog’s theme will stay the same. So on the other hand, my goal is also to get people thinking about me in a certain way.

 

Your small business blog title

Third: Decide on the title of your blog. Make sure it reflects your blog’s focus, but also your keywords if you’re small business blogging for SEO. For example, when I started a blog for an email marketing agency, I chose “Email Marketing ROI” for the title, so the URL included those words. (It now has a different name.) And that was the theme of the blog: improving email marketing ROI by providing useful information.

 

Set a small business blogging schedule

Fourth, set a schedule for small business blogging and adhere to it. Blog at least two times a week, but if you want search engine results, do it more often. I have a Task in Outlook that pops up a reminder for me every Tuesday and Thursday. In that task list is a running list of topic ideas (more on that later). If you have produced an email newsletter or another publication, you know you have a production calendar to stick with. Think of your blog the same way.

 

Round up the bloggers

Fifth, consider having more than one person at your company blog. It doesn’t have to be the CEO or the marketer writing the blog. In fact, the best blog content might come from someone who works with customers every day, or on the shop floor. The first person would have insight into customer concerns, and the other into production. Both would produce great blog content that an executive or marketer might not think of.

 

Be clear on your keywords

Sixth: If you’re blogging for SEO purposes, determine your keywords. Use a free keyword research tool like SEO Book (http://tools.seobook.com/keyword-tools/seobook/) or Google Adwords (https://adwords.google.com/select/KeywordToolExternal), or maybe you already know your keywords you want to win? Then look at how competitive the search landscape is for the terms you want to use. Remember, more specific keywords won’t be used by as many people, but they’ll get you found by the smaller group of people who are a more targeted audience for you. The less often you plan on blogging, the fewer keywords you’ll be able to use enough to compete. But come with 4 or so keyword phrases. Long-tail keyword searches seem to do well in blogs. Keep this list in mind every time you blog and use your keywords, in a post title and in the post itself. I usually write a blog post, then go back and sprinkle in a keyword or tool. And I admit it, I don’t focus on the SEO part enough sometimes because I get caught up in the topic. J

 

Do you want editorial control?

Seventh, think about editorial control: If more than one person will be small business blogging, do you want administrative control so content is reviewed before it goes live? Will someone be proofreading blog content before it gets posted?

 

Developing your voice

Eight: When you first start, you don’t necessarily have to post those initial blogs. Just write them in a Word document first, or even on paper. You’ll want to write a few to get your voice, a sense of how you want to come across. But do be yourself, do be natural and a real person.

 

Coming up with topics

Now the “hard” part (not really): small business blogging!! The biggest hurdle for people seems to be topics. What will we blog about? If after reading this you still don’t know what you’ll blog about, let me know…

 

Keep a running list of topic ideas. Then when it’s time to blog, use one of the ideas (then make sure you delete it from your list!). If you have a recurring task in Outlook, like I do, you keep your list there. Then when Outlook pings you, you’ve got your idea list right in front of you. But once you start blogging, you’ll start seeing topics all around you. I use one of the topics on my list maybe every 3rd or 4th time because something will have happened that prompts a blog post in the mean time.

 

Look for ideas in the newspaper, trade magazines, in other blog posts. I even get ideas from the radio and from conversations.

 

I haven’t done this yet, but try and use photos sometimes. Not cheesy ones though, don’t include photos just for the sake of photos. Or clip art, ugh! But real photos of real people, like your staff or your customers. Videos too…

 

I saw a blog that copied and pasted in press releases verbatim. I wouldn’t recommend this because search engines hate duplicated content. It’s better to blog on the press release and link to it. And if your company creates press releases and posts them online (and you should!), write a summary of the press release in your blog and link to it.

 

Link to other sources. If you read a blog that makes a good point, write your own blog post with your take on it, and link to the original blog. Ditto for online news articles, video clips, etc. You can link to anything. Consider subscribing to a couple of email newsletters or other blogs just to get your own thought processes going. Your reactions to what you read are also valid blog content.

 

Link to studies and reports that are released. Some bloggers are the filter for their readers, helping their readers find important information without having to look for it.

 

Talk about what’s going on with your business: Are you going to be at a tradeshow? Will there be live music at your tavern? Are you moving?

 

Be creative in thinking about what content will be interesting. Like my business is a copywriting agency, but I don’t tell people how to be copywriters. I try to help people be better marketers. If you owned a coffee shop, you wouldn’t necessarily blog on your coffee shop, that would get boring fast, but you could blog on the coffee industry perhaps, because you could still use your keywords.

 

Include customer testimonials with an introduction, maybe “We received a great email from Susan Smith about her new vacuum, and just have to share it with you…”

 

Never forget that small business blogging is about being real. You could even include a recipe! Say you had a staff potluck and Joe’s potato salad was a huge hit. Talk about the party and include Joe’s recipe.

 

Please don’t post just to post. I have a friend that does that because his only concern is SEO, and that means he’s putting a lot of useless stuff out on the Internet. L I want subscribers to my blog, and if I did that, just posted blogs based on keywords, subscribers wouldn’t stay very long because I wouldn’t be providing useful information!

Copywriting and email copywriting tips worth knowing

I don't know why we don't see more articles on copywriting. Words rule. Content is queen. I couldn't blog without words. You couldn't market without words.

So I get excited when I see an article, especially a really good article, on copywriting. And no, I'm not talking about the copywriting article I had published in MarketingProfs.com last week.

MarketingSherpa has a great article on email copywriting. The title is a little misleading, referring to YouTube as it does, but the content is right on the money...and pardon the pun, because it's about email copywriting for nonprofits.

It's 12 copywriting tips worth reading...and implementing. Nothing new to me as a copywriter, but I like being able to pass this along as a reminder to other marketing folks. My favorite takeaways are about being emotional, spending hours on the subject line, and being provocative. Those are all tough aspects for me to convince coypwriting clients on. The article talks about how long it takes to write a short email, for example. Which clients don't understand. But it really is harder to write short copy than long copy! I've said many times great copywriting comes from great editing. And this is especially true in email marketing, where your word length truly has to be just long enough, just short enough.

Twelve tips is about nine more than I can realistically expect anyone to remember, so how about we focus on the three I liked the best. Next time your copywriter gets an assignment from you, let her be emotional and provocative, and let her spend as much time as it takes to write shorter, more effective email marketing copy.

Although I'm "just" a Seattle copywriter, I've always found in the 8 years I've been doing We Know Words that I have to know about much more than copywriting. My clients typically aren't as up to speed on what's happening in the world of marketing, from email marketing to Web writing to using blogs as marketing tools.
That's OK by me, because it gives me an excuse to keep up with marketing trends...and then I get to be the expert for my clients, helping them figure out not just what to say (the copywriting), but when, how, to whom and more (the consulting).

How does a marketer keep up with new developments in marketing though when you are busy doing your day-to-day job and you don't have someone like me (who is delighted to keep learning!) around to keep you current?

Even more importantly, how do we make sure we have marketers entering the field who know email marketing, blogging, social media, Web 2.0, Twitter, etc.? Because it doesn't seem to be taught in college. Heck, even copywriting is something anyone can claim to do! Hang out your sign as an online copywriter and have at it. No one can ask for credentials, because there aren't any!

Which makes me very happy to be on the Advisory Board for the University of Washington marketing certificate programs. UW Extension is looking forward, trying to determine what marketers need to know. And now we have a new program that starts this fall: the Advanced Interactive Marketing program.

If you already know how to harness the technology, this program will teach you how to choose one marketing tool over another based on sound business principles. If you're still completely oblivious about how best to put email marketing, blogging, SEO, web analytics and more to work, then here's your chance for an overview that won't help you master all these online marketing tools, but will help you know enough to make sound marketing decisions.

A program like this is great for people already working in marketing, and I'm so glad they started it! But we still need to be teaching interactive marketing at the college level too. I wonder how long until that happens?

 

You have to sell what your customer is buying

I was just on a web page looking up the root of a word and I saw an ad for weight loss. No surprise there. But the ad must have been for surgery because the image in the ad was of internal organs. I assume the stomach, I don’t know the human innards very well. And my reaction? Gross! What in the world are they selling!

 

Well, they’re not selling what the customer is buying! They are selling weight loss surgery, but the customer is buying weight loss. The best image to have there is one of a skinny person, silly advertiser! Sure, you use surgery to achieve the weight loss, so that’s what you’re selling. But that makes for a bad ad no matter how good your online copywriter.

 

Think about it…

 

You are selling mattresses but your customer is buying a good night’s sleep.

 

You are selling small business blogging software but your customer is buying search engine optimization.

 

You are selling sports cars but your customer is buying status.

 

Before you do any copywriting, blogging, small business email marketing, anything, make sure you get out of your head and into your customer’s: What is she really truly buying from you? Sell that!

 

Right now, answer the question: What is your customer really buying?

 

And about that word I was researching? Sure enough the words smite and smitten are related. This Seattle copywriter thinks that’s pretty funny!

BJ’s Restaurant and Brewhouse demonstrates marketing is like dating

This fits right in with my “marketing is like dating” theory: BJ’s Restaurant and Brewhouse just took me out to dinner to court me as a customer.

 

Yep. My kids, my best buddy Rico and I got to dine for free as part of the training for a new BJ’s Restaurant and Brewhouse. They are opening in the Seattle area, in Tukwila, and I had received an invite for a free meal for four during their training time. We all thought it was pretty neat to take part in the training…and get a free meal. OK, three of us. My teenager is too cool to think anything is pretty neat. It’s the first BJ’s Restaurant and Brewhouse in Washington state, so the newness of that was fun too.

 

We had fun with the casual atmosphere as the servers made occasional mistakes, and we had a great meal and some really good beer. (The highlight for me was when I ordered a “Nitwit” and Rico ordered a “Brewnette” because it sounded like we were talking about each other!)

 

Now you’re wondering what the heck this has to do with marketing…and why I’m saying it’s like dating…and why a Seattle copywriter would even think you care…

 

Because it’s brilliant. Jackie Huba and Ben McConnell talk about “napsterizing” your business, figuring out how you can give away free samples so people can try before you buy. I think the BJ’s Restaurant and Brewhouse experience is a fantastic example of how to do just that.

 

Not only did we get to sample the food and the beer and the pop (they make their own root beer, cream soda and black cherry soda). We got to experience the atmosphere, what it was like to physically be there. For me, that’s huge because I’m not usually a fan of chain restaurants. But I liked this place and can easily see suggesting to Seattle friends reluctant to drive all the way to Kent (where I am) that we meet there.

 

Did it cost them money? Oh yeah. The restaurant was packed when we were there. BJ’s Restaurant and Brewhouse was giving away a lot of food! But it was both part of the training and part of the marketing, so therefore money well spent. I’m sure it created buzz: I know I’m telling people about the restaurant! And the best training comes from doing, so that was a smart investment in their staff. The only other cost was in the direct mail invitations that went to people like me, and those were pretty simple. No blogging, no email marketing, just plain old fashioned direct mail.

 

So BJ’s Restaurant and Brewhouse, kudos to you on several fronts: for good food and beer and atmosphere (at reasonable prices!), and for marketing like dating.

 

Now, what would happen if you took your customers out to dinner? What’s the equivalent for your business? Could you be bold and spring for an investment like that, knowing you’d be getting ROI on that investment for some time?

As much as I push blogs as marketing tools, I confess my own is the first to be neglected when I get busy. But I still keep learning more about marketing with blogs and blogging, so I can pass that wisdom along to my copywriting clients. (I’m really pushing small business blogging, because I am a blogging believer! Even though I neglect my own!)

 

The other day I was reading up on blogging best practices, and came across a blog that said to link out, link out, link out…. This blogger was really pushing the concept of getting your blog fodder from reading other blogs and linking to them.

 

To me, that’s a strange concept. I find my blog topics come from living, breathing, doing…seeing real-life examples of marketing and copywriting at their worst and at their best both. If I focused on reading other blogs and commenting on them, what would I really be adding to the conversation?

 

It’s my own experience, like the grief I had the other day on Verizon’s web site trying to view a photo a friend sent me, or the conversations with clients who just don’t understand email marketing but think they do, or a story from one of my kids…

 

Maybe it’s because I blog on marketing, and marketing is something that goes on all around us all the time. Whether it’s my daughter trying to talk me into buying her a Slurpee, or a man asking me out on a date, or me as Web site copywriter helping a client with SEO…it’s all marketing all the time. So maybe that means I don’t have to turn to other bloggers for blog fodder. Besides, that sounds boring. I’d rather live and comment on living (as related to marketing, of course) than spend any more time online.

Small business marketing requires owners willing to listen

I really do love small businesses and small business owners, but they can make me crazy…

My best example right now is the small business owner who is pissed at me because they put up their new Web site and aren’t getting any hits. This is apparently my fault because my copywriting agency did the writing for the Web site. Never mind that their Web developer neglected to use the title tags and other meta tags we’d written. Never mind that it’s poorly coded and designed. Never mind that they chose not to do all of the pages we’d suggested for more content. Never mind that it only went up three weeks ago. Never mind that no sites link to it yet. Never mind that they have no content management strategy for updating the site. Never mind that I had explained all of this to him months ago when we first started on the project.

Just because someone is running and marketing a small business doesn’t excuse them from educating themselves about marketing. I’m not saying they should be an expert. (I joke that I don’t want to know about taxes, that’s why I have an accountant. But I still know what taxes get paid and when, I just don’t have to know the nitty gritty.) But they should know something.

Not all are like the client described above. I’ve worked with plenty of small business owners who took the initiative and learned enough to have a dialog about their marketing, whether it’s an email newsletter, web marketing, blogging or direct mail.

And thank goodness for those clients! Copywriters and marketers can’t do their jobs with clients who don’t know anything and aren’t willing to learn is the lesson I’m learning this week. Sadly, it’s usually the small business that falls into that category.

Even in a Web 2.0 marketing world, content still matters

Earlier this week, I attended a stellar WTIA event on Web 2.0. The panelists were entertaining and informative, and the whole dialog around monetizing Web 2.0 fascinating.

But the message that most resonated with me as a copywriter was that content still matters. I don’t mean the user generated content (UGC) that people typically think of when they think Web 2.0. I mean the content that your company and marketing team puts out into the world.

And that’s good news to me, because it means copywriters have a place in making Web 2.0 marketing work!

Done right, the content you generate as email marketing, email newsletters, and blogging can be viral, can start a dialog and engage your customers. So you still need great copywriters, relevant content, and even a strategy.

The best news is that small business marketing can involve Web 2.0 because all of these tools and mediums can be used by small businesses to engage their customers.

Yeah, rest easy, copywriters. Content is still queen. :-)
